Extenuating Circumstances Guidance

Extenuating Circumstances:

  • are exceptional and beyond your control - in other words not foreseeable and/or preventable;
  • have prevented you from demonstrating or acquiring skills, knowledge or competencies required for an assessment;
  • which you can evidence;
  • and which you report in advance of the assessment.

'Fit to sit' means that you must decide whether or not your assessment will be affected by the circumstances and if this is the case, you must submit an application for Extenuating Circumstances in advance.

*Any student that presents themselves at an examination and takes that examination, or who submits a piece of coursework, or attends and takes part in a presentation, practical session, or any other form of assessment cannot then put in a later request for Extenuating Circumstances*

Examples of events which are Extenuating Circumstances may include, but are not limited to:

  • bereavement
  • serious short-term illness or accident
  • significant adverse family or personal circumstances
  • worsening of a long-term health condition

Your Module Leader has the authority to grant an extension to the deadline for the submission of an assignment of up to seven calendar days, provided they are satisfied that a genuine reason exists. If the situation warrants more than just a short period of time beyond the published hand-in date, you should use the Extenuating Circumstances procedure.

You will need to provide as much detail as possible, to describe or account the reasons you are applying for extenuating circumstances. When you are completing the form, you will be asked for the following information:

  • Date of birth
  • Student number
  • Course of Study - for example, BSc. (Hons) Psychology
  • Campus / Centre - for example, Sunderland, University of Sunderland in Hong Kong (UoSiHK), Sunderland Online, IDL, UK Partner College, and Overseas Partner College
  • Mode of Study - for example, Full or Part Time
  • Type of Study - for example, Undergraduate/Postgraduate
  • Module Code - for example, ABC120
  • Module Semester - for example, SEM1, SEM2 or SEM3. For Sunderland Online Students, please confirm your period slot 06P01-06
  • Module Title - for example, Exercise for Special Populations
  • Assessment Type - for example, Coursework, Dissertation, Exam, Placement or Practical Skills
  • Assessment Due Date or Deadline
  • Evidence (this must be submitted in English or must be accompanied by a certified translation)

Evidence supporting your application should cover the entire time affected and be clearly linked to the dates for which you are claiming Extenuating Circumstances.

Evidence can include:

  • a signed GP letter/note
  • a death certificate
  • an order of service from a funeral
  • a police crime number
  • a statement of support written by a module leader

*Please note a General Medical Practitioner’s fit note from later which records that they saw you and heard of your previous ill-health does not constitute evidence*
